How HOAEXP handles personal information when you use our website, contact our Travel Planner, or plan a journey with us.

HOAEXP L.L.C-FZ is a Limited Liability Company - Free Zone registered in Dubai, U.A.E. The brand and trading names used for our travel services are HOAEXP and Heart of Africa Expedition.

We collect personal data that is reasonably needed to operate the website, respond to travel enquiries, prepare proposals, manage bookings where applicable and administer relationships with travellers, travel agents, partners and suppliers.
We collect personal data directly from you, from communications with our team, through website forms and through normal website operation.
We use personal data only for purposes connected with operating HOAEXP, planning or delivering travel services, protecting the website and managing legal or business obligations.
Depending on the situation, HOAEXP processes personal data where it is necessary to respond to your request, take steps before a booking, manage agreed travel services, comply with legal obligations, protect legitimate business interests or rely on consent where required.
Where special travel requirements, health or mobility-related information, passport copies or verification documents are needed, we use them only for the purpose for which they are collected and restrict access to authorized personnel and relevant service partners where necessary.
A Travel Planner request starts a planning and quote conversation. It is not automatically a confirmed booking. We use enquiry data to understand your preferences, contact you about your request, suggest alternatives where possible and prepare booking information if you decide to proceed.
Where required for a booking, permit, accommodation, transport, park entry, border, aviation or supplier requirement, HOAEXP may ask travellers to provide a copy of their passport or identity document. We use this information only when necessary to prepare, confirm or deliver the relevant travel service, issue travel documents or vouchers, or comply with legal, regulatory, security or anti-fraud requirements.
We may share only the information reasonably necessary with selected suppliers, local operators, guides, lodges, hotels, camps, transport providers, park or permit authorities, aviation providers, travel agents or service partners when needed to prepare, quote, confirm or deliver a travel experience.
Where payments are made through external payment providers, those providers may process payment information according to their own security and privacy terms. HOAEXP does not intentionally request or store full payment card details outside approved payment flows.
Payment or invoice references may be kept where needed to manage bookings, records, support, disputes, accounting, compliance or business administration.
Because HOAEXP operates internationally and arranges travel services across multiple countries, personal data may be processed or shared outside your country of residence where necessary for enquiry handling, booking management, supplier coordination, customer support, compliance, legal or business administration, or delivery of travel services.
This may include processing in the U.A.E. and sharing with selected suppliers or service partners in destination countries. We aim to limit sharing to what is reasonably necessary and to use appropriate safeguards where applicable.
HOAEXP keeps personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy.
Where applicable, you may contact HOAEXP to make a privacy request about your personal data.
HOAEXP does not knowingly collect personal data directly from children for independent account or booking purposes.
Information about children or minors may be provided by a parent, guardian or adult traveller when planning family travel, and is used only as needed to prepare, confirm or deliver the travel service.
We use reasonable technical and organizational measures to protect personal data against unauthorized access, misuse, loss or disclosure.
No system can be guaranteed to be completely secure. Passport copies, identity documents and business verification documents are treated as higher-risk operational data and access is restricted to authorized personnel and relevant service partners where necessary.
